Job Description

Finance Assistant will be responsible for ensuring IRC systems and procedures of internal controls are followed when committing financial transactions in Hagadera and ensuring there is enough cash to implement the program activities.

Job Responsibilities

Bank and Cash Payment Process.

  1. Maintain petty cash at the set limit always ensuring no cash shortage.
  2. Ensure that all cash payments are fully supported and are authorized at set limits as per IRC Kenya delineation chart before disbursement.
  3. Prepare the petty cash upload spreadsheet to upload stage ready for review by Senior Finance Officer before submission to Nairobi Finance.
  4. Monitor and track cash advanced to program and support staff monthly and ensuring that liquidation reports are prepared, and ready for review by Snr. finance officer.
  5. Incentives payments after receiving correctly coded and approved incentives staff payrolls from Snr. finance officer.
  6. Perform petty cash counts every Friday with Field Coordinator or his designate.
  7. Ensure that all cash received is duly receipted, coded, and promptly banked.
  8. Assist in preparation of bank reconciliation statement monthly for Hagadera bank accounts.
  9. Rubber stamping ‘paid’ on all such documents once checks and payments vouchers are signed before filling or retention.
  10. To reconcile Citibank KES bank account and prepare the upload file on a monthly basis.
  11. Maintain an organized and well documented folders for all payments made.
  12. Act as a bank agent for Hagadera bank account.
  13. Any other duties as may be assigned by supervisor.

BvA

  1. Clear all payments from Online BvA at the point of processing the payment to ensure that no double counting on the online BvA.

Audit Assist/Inter departmental.

  1. Assist in retrieval and re-file of documents as requested by supervisor.

Other

  1. Be receptive to the training IRC will give to develop your technical and professional competence.
  2. Be adaptable and flexible with a view to taking on board new tasks and new assignments in due course.

Key Result Areas

  1. Timely payments of suppliers and incentive staffs using fully authorized vouchers as per the authority delineation chart
  2. Timely monitor and tracking of advances and processing of liquidations
  3. Maintain up to date filling system for the financial documents and correspondence
  4. Keep online update of the cash book spread sheets and reconciliation of the cash daily.
  5. Perform supervised petty cash counts every Friday.

Qualifications

  1. Minimum CPA II qualification. University degree is an added advantage.
  2. At least one years of finance and accounting experience in a similar post.
  3. Proficiency in SUN accounting software applications is an added advantage.
  4. Knowledge of Microsoft Office software.
  5. Excellent interpersonal, organizational, and time management skills
  6. Supportive personnel management style and ability to work in and as a team
  7. Strong leadership skills.
  8. Excellent spoken and written English.

Plumber/Maintenance Volunteer

Job Description

The Plumber reports directly to the Construction Manager, he/she will be expected to work within the construction department in collaboration with other sectors in order to achieve the objectives of the organization. The plumber, in close guidance of the Construction Manager will be expected to Install, maintain, and repair pipes and fixtures associated with heating, cooling, water distribution, and sanitation systems in the hospital and residential facilities. Inspects drainage and other plumbing systems for compliance with local and national regulations.

Job Responsibilities 

Plumbing

  1. Assemble, install, maintain, and pressure test all pipes, fittings, and fixtures of heating, water, drainage, sprinkler, and gas systems according to specifications and plumbing codes
  2. Interprets drawings and bill of quantities specifications to map layout for pipes, drainage systems, and other plumbing materials
  3. Receive and complete work orders.
  4. Select material and hardware and make time and materials estimates.
  5. Installs pipes and fixtures, such as sinks and toilets, for water
  6. Installs supports for pipes, equipment, and fixtures prior to installation
  7. Assembles fittings and valves for installation.
  8. Modifies length of pipes, fixtures, and other plumbing materials as needed for a building
  9. Determine sources of plumbing malfunctions and complete repairs as indicated or according to work orders
  10. Respond to emergency calls as needed.
  11. Detect needed repairs on buildings, grounds, and equipment following established inspection procedures.
  12. Collaborates with contractors, construction workers, electricians, pipefitters, and steamfitters in installing and repairing plumbing
  13. Tests plumbing systems for leaks and other problems
  14. Analyses problem and identifies appropriate tools and materials for repair
  15. Chooses plumbing materials based on budget, location, and intended uses of building.
  16. Performs inspections of plumbing systems to identify and replace worn parts
  17. Prepares bids and schedules and oversees other workers, such as apprentices and helpers.
  18. Writes report documenting the problem and summary of actions taken

Maintenance.

  1. Inspect buildings, facilities, to identify any issues.
  2. Develop and implement preventative maintenance procedures.
  3. Plan and schedule repairs.
  4. Conduct periodic quality checks on equipment and systems to ensure everything is up to standard.
  5. Perform general maintenance tasks.
  6. Maintain the inventory records for equipment and maintenance supplies.

Safety

  1. Follows health and safety standards and complies with building codes
  2. Operate tools and equipment according to established safety procedures
  3. Follow established safety procedures and techniques to perform job duties including lifting, climbing, etc.
  4. Correct unsafe conditions in work area and report any conditions that are not correctable to supervisor immediately.

Qualifications

Monitoring & Evaluation Assistant

Job Description

The position will be based in Hagadera field site and will work closely with the field teams to improve program quality through improved monitoring and evaluation systems and processes. Under the supervision of the Monitoring and Evaluation officer, the Monitoring and Evaluation Assistant shall be responsible for collection, summarizing, compiling and dissemination, storing and timely reporting of all forms of data generated from the activities of integrated health, WPE and Nutrition programs with a key focus on generation and submission of timely qualitative and quantitative reports.

Major Responsibilities

  1. Monitoring and evaluation of Integrated health, Nutrition, WPE and protection programs to ensure all activities are carried out and challenges addressed on time for overall project goal realization.
  2. Organize and facilitating routine data quality assessments to find and bridge gaps that lead to inaccuracy in reports.
  3. Organize and facilitate quarterly data review meetings to track program progress against the project indicators.
  4. Apply appropriate statistical analysis tools and methods for routine and ad-hoc analysis of cross-sectional as well longitudinal data.
  5. Generate regular reports used by the program staffs for Monitoring & Evaluation purposes.
  6. Work with the M&E and program staff to develop and provide the required data collection tools and computer-based data management & reporting system.
  7. Continuous and frequent close monitoring / supervision of all levels of data collection from entry, filling, compiling, summarizing and giving feedback to the M&E officer.
  8. Supervise use of iRHIS and Synchronize data capture with servers.
  9. Regularly update data after cleaning.
  10. Participate actively in the enforcement of Quality Assurance (QA), Quality Control (QC) and Quality Improvement (QI) measures for integrated health, nutrition and WPE program interventions.
  11. Capacity building program field staff on monitoring and evaluation techniques.
  12.  Conduct field monitoring visits and document learnings and share lessons
  13. Work with partners staff to ensure that data is collected and entered into databases and/or tracking sheets, and/or the data platform on a regular basis.
  14. Data management of VCT & PMTCT data, Pepfar reports, TB data, Nutrition reports, GBVIMS, Knowledge and attitude surveys and Disease surveillance.

Qualifications

  1. Bachelor’s degree (Health information management, statistics, monitoring and evaluation, or related discipline) or diploma in the relevant fields with at least 3 years of field experience.
  2. Excellent database, data management and data analysis skills, with experience using at least 2 software applications such as Microsoft Excel, Epi-Info, SPSS, STATA.
  3. Experience with electronic/mobile data collection
  4. Strong analytical, quantitative and qualitative research skills and M&E skills
  5. Problem-solving, decision-making, leadership and good judgment skills.

Mental Health Nurse

Job Description

Working under the guidance and supervision of the Mental health officer, the Mental health nurse is directly responsible for the provision of MHPSS care and assist individuals, groups, and communities in Hagadera refugee camp suffering from the effects of mental disorders, Drug abuse, torture and war trauma in order to reduce their suffering, rehabilitate and enable them to rebuild their lives and communities.

Job Responsibilities:

In collaboration with Health team and under the supervision of the mental health officer include and are not limited to:

  1. Do Consultations at the 3 mental health clinics in the camp and supervision of the Incentive staff working at the various clinics charged with the assessment of psychiatric patients, appropriate interventions, rational prescriptions and referrals of individuals in the camp/local community for other services.
  2. Ensure that all required documentation is completed in a timely and in a professional manner.
  3. Provide Psychological First Aid (PFA) to address the mental health needs of the refugees and host community
  4. Develop, plan, and facilitate trainings for the refugee mental health dept. staff, CHW’S, Medical assistants, Nurse Aids, community leaders, religious leaders, support groups, Teachers, other stake holders and do community awareness campaigns.
  5. Preparation and compiling of quality departments work plans, weekly and monthly HIS reports.
  6. Create an appropriate networking system with other and or relevant implementing partners, line ministries, hospital departments and community stake holders through referrals and advocacy.
  7. Ensure that all work with clients is kept confidential and that ethical practices are  always observed.
  8. Oversee and conduct individual case management of patients on follow up at the mental health department & ensure case management goals are properly achieved.
  9. Provide mentorship of the mental health assistants working in the MH department through continuous education, guidance, supervision, and support.
  10. Design mental health trainings for the mental health workers and other stake holders.
  11. Take charge of the mental health department when the mental health officer is away from office.
  12. Develop referral pathways and systems, and encourage collaboration between local partners, leaders, CBOS, INGOS & Government ministries.
  13. Attend inter-agency MHPSS meetings In Dadaab at UNHCR to improve service delivery to our clients/groups and access opportunities to show case what IRC is doing in the camp.
  14. Assist with any other related activities/duties as deemed necessary by the supervisor.

Key Result Areas

  1. Improvement in overall quality of MHPSS care for all the patients/Clients in Hagadera refugee camp.

Qualifications

  1. Diploma/Degree in psychiatric nursing from a recognized institution.
  2. At least 2-3 years in field experience within a Humanitarian, NGO/Agency in the same or similar position
  3. Extensive experience providing psychiatric care to patients from a busy hospital.
  4. Flexibility and adaptability to the changing environment
  5. Skilled at working as a team member
  6. Working knowledge of English and Kiswahili
  7. Excellent written, verbal, and interpersonal communication skills
  8. Demonstrate flexibility to adapt to changing requirements and needs
  9. Working knowledge of Microsoft office suite (Outlook, Word & Excel)
  10. Able to work in a stressful refugee environment
